What does it mean to ‘Only assign fans with ticketing relationships’?
When creating or editing a program, if you check the ‘Only assign fans with ticketing relationships’ box on the Assign tab, you are saying that you never want a rep to be assigned a fan who does not already have a relationship with them as defined in your ticketing system.
How are leads distributed when ‘Only assign fans with ticketing relationships’ is checked?
When ‘only assign fans with ticketing relationships’ is checked, only fans who have an existing account rep relationship with one of the reps in the program will be assigned out. Leads assignment stops once each rep has been assigned the fans they have an existing relationship with. Fans with no account rep at all, or an account rep who is not included in the Program, will be left in the “unassigned” bucket.
To assign the “unassigned” leads, the sales manager can take one of two steps:
Manually assign leads to reps within the program
Uncheck the ‘only assign fans with ticketing relationships’ box, which will automatically distribute the unassigned leads to available reps within the program
Tip: You can change this selection at any time. If you change it while a program is active, it will only apply to leads assigned from that point forward.
What does it mean to NOT use ‘Only assign fans with ticketing relationships’’?
When ‘only assign fans with ticketing relationships’ is NOT checked, the program will prioritize leads with existing rep relationships from the ticketing system. But then will distribute fans with no account rep at all, or an account rep who is not included in the program, among the reps that are currently in the program.
However, it’s important to note that while the program prioritizes leads with existing rep relationships, it does not strictly honor the fan/rep relationships during the leads assignment process. What this means is if the next fan to be distributed out has an existing relationship with Rep A, but Rep A’s quota is full, the fan will be assigned to another available rep in the program. The program won’t “reserve” or “skip” that fan until their specific rep has available quota, like it would if the ‘only assign fans with ticketing relationships’ box was checked.
How leads are assigned
Select the reps you want to work on this program
Decide whether or not to restrict assignments to existing ticketing rep relationships. By default, the program will first distribute leads according to their existing relationships in the ticketing system. After these fans have been assigned, those without ticketing reps or with reps who aren’t included in the program will be assigned at random.
Check “Only assign fans with ticketing reps” if you only want fans to go to the reps they are currently assigned to in your ticketing system. Fans without ticketing reps (or those whose ticketing rep is not in the program) will remain unassigned. To assign these leftover fans you can then either:
Assign them manually
Edit the program and uncheck the box. This will distribute the remaining fans at random
Enter lead quotas to ensure reps keep a manageable number of leads in their queue. (explanation of quotas)
