Overview
You can easily share an email list from any Audience in FanThreeSixty. With controls for “scheduling,” “customized fields” and “no solicit,” you can customize automated list distribution to your fans to 3rd party email providers.
We’ll be connecting an existing FanThreeSixty audience to a list in your third-party email services provider, or ESP (i.e. MailChimp or Salesforce).
If we’re just connecting to a list in your ESP, the Audience connection we create may not trigger an email. It’ll depend on how you’ve set up your lists, emails, and any associated automation.
In other instances we’ll actually be triggering an email in your ESP (i.e. Adobe Campaigns), make sure you know which option applies to your specific ESP before beginning this process.
When we connect directly to an established email with your ESP you’re actually triggering that email to be sent to anyone in the connected Audience. Be mindful that you’ll potentially initiate outbound emails when you set up the Audience connection via Share.
Get Started:
How to link an Audience to a 3rd party email service:
With an Audience selected, click on the Share button
Navigate to “Send an Audience”:
Click on Audiences
Select the preferred Audience
Click the Share button
Connect to your Email Service Provider:
Once the share modal opens, select “Link to ‘Email Provider’ audience”. The button will reference your connected ESP.
Select the List to connect to:
Next, select the email template or audience list within the integrated email system to link the FanThreeSixty Audience with. Your list of available MailChimp Audiences will refresh every 15 minutes if you don’t see a recently created MailChimp Audience in your list please wait 15 minutes for the next refresh.
Who do you want to connect:
Now you’ll choose if you either want the Entire Audience or a more specific Marketing Audience to receive the email:
Choose the Entire Audience option if you want every fan within the Audience regardless of previous ‘no solicit’ designations. NOTE: This option should be selected for transactional emails like receipts, sign up confirmations, or other non-marketing emails.
Choose the Marketing Audience option if you want to only send to fans who you have permission to market to. This option will exclude fans who have previously marked their account “No Solicit.” This option should be selected when you’re sending promotional, sponsored or other marketing emails such as newsletters.
☞ Please note, Neither the Entire Audience nor the Marketing Audience option accounts for your fan’s existing subscription preferences. To ensure you’re sending marketing emails to those fans you have the permission to market to you’ll need to import your existing subscription list, and/or default to having your email service provider handle subscription-based suppressions.
Which fields should be sent:
Now you can determine the fields that will be sent to your connected email system. FanThreeSixty defaults to First Name, Last Name, and email. You can select additional fields as necessary. Some email systems, like MailChimp, restrict the fields that can be sent; so in this case, you won’t have the option of selecting any additional fields.
When do you want to send this Audience:
Next, you can determine how frequently you want the email to be sent to fans in the audience.
Select Send now to send a single email to your Audience right now
Select Schedule for later to send an email that will go out to fans at some point in the future. The default is to send a single email at noon today. You can click Edit settings to update the schedule.
On what schedule would you like this Audience sent:
Once you’ve selected Edit settings you’ll be redirected to choose between a single future send, Send once, and a recurring future send, Send recurring.
Select Send once if you want to schedule a single send email to your Audience at some point in the future. This email will go to the Audience at the date and time you choose and will send to everyone who is in the Audience at the scheduled date and time not right now.
Once you’ve selected this option, you can choose the date and time of your choosing and then click Done when you’re finished.
Select Send recurring to set up a scheduled email that will deliver upon a predefined schedule. By selecting this option you’re telling FanThreeSixty to send an Audience to your connected email system on a regular interval defined by you. You’ll define what that regular interval is in the next step.
When do you want it to recur:
If you select Recurring, you can customize the email send schedule by selecting Edit settings >
Daily - choose the time of day.
Weekly - choose the day of week and time of day.
Monthly - choose the day of the month; first, 15th, last, and time of day.
Choose Add New Contacts Only if you want only new fans in the Audience to receive an email each time it’s sent
Choose Update All Contacts if you want everyone in the Audience to receive the email each time it’s sent
Use End On to select the date that you want the recurring email to stop. Please note, the email will send out on the selected end-on date unless otherwise scheduled.
Select “Done” when you’re finished setting your schedule. You’ll return to the previous screen where you’ll see a summary of your schedule settings in the Recurring box.
Confirm your schedule and share:
Back on the Select Frequency screen, you can see a summary of your recurring settings. Review and select Share to officially set up your recurring email.
🎉 Congrats, you’re done! 🎉
If you need to delete an existing Audience connection:
After selecting an Audience in the Audience list, you can see active recurring emails in the info panel on the right-hand side. Each Shared email card is listed sequentially with the most recent share at the top. You can see details regarding the schedule on the card itself.
Active emails can be canceled by clicking the button in the upper right-hand corner of the Shared email card.
Tips: If you don’t see the option to send an email to an Audience, contact your Client Success representative to kick-off the email integration process. FanThreeSixty also offers a native email solution that you can use to send personalized emails to your Audiences right from the FanThreeSixty platform.
